Custom CRM Software, Built Around How You Actually Sell

Most businesses do not lose deals because they lack a CRM. They lose them because the CRM they pay for does not match their process, so the real work goes back into a spreadsheet and a WhatsApp group. We build the one that fits.

The Problem

The spreadsheet is the real CRM

If any of these sound familiar, the issue is fit, not discipline. Software people have to work around is software they eventually stop using.

Enquiries arrive in five places

Website form, Instagram DM, a missed call, a walk-in and a WhatsApp forward — and nobody can say which ones were answered.

Follow-ups depend on memory

The deal that goes cold is rarely the one that said no. It is the one nobody called back on Thursday.

Per-seat pricing punishes growth

You start limiting who gets a login, which quietly guarantees the data will be incomplete.

Reporting means rebuilding a sheet

Someone spends Monday morning assembling the same numbers by hand, and they are stale by Tuesday.

The website and the CRM are strangers

A lead fills a form, an email arrives, and a human retypes it. That is the gap where leads die.

Everyone can see everything

No roles, no permissions, no audit trail — and no safe way to give a new joiner access.

What We Build

The parts of a CRM that earn their place

We do not build every module in the brochure. We build the ones your business runs on, and leave room for the rest.

Lead capture and routing

Website forms, landing pages, ad leads, calls and walk-ins land in one place and get assigned to a named person automatically.

Pipelines that match your stages

Your stages, your qualification rules, your lost reasons — not a template borrowed from a software company in another country.

Customer and account records

One record per customer with the full history: enquiries, calls, quotations, invoices, tickets and notes.

Quotations, invoices and payments

Generate a quotation, convert it to an invoice, attach a payment link and see what is actually collected.

Follow-up automation

Tasks, reminders and escalations that fire on their own, plus WhatsApp, email and SMS templates your team can send in one click.

Roles, permissions and audit trail

Sales sees their own pipeline, a manager sees the branch, the owner sees everything — and every change is logged.

Dashboards worth opening

Conversion by source, ageing enquiries, revenue by stage and per-person activity, live rather than assembled by hand.

Migration from what you have now

Spreadsheets, an old CRM or a mix of both — mapped, trial-imported, checked by you, then migrated for real.

Integrations with the rest of your stack

Your website, payment gateway, shipping partner, accounting tool, email and the WhatsApp Business API, joined up as one system.

How We Work

From your process to a working CRM in six steps

The first deliverable is not code. It is a written map of how your business actually handles a customer, which is usually the first time anyone has drawn it.

1. Map the process

We sit with the people who use it and write down how an enquiry becomes a customer today, including the parts that happen on paper.

2. Design the data model

Records, stages, roles and permissions are designed up front, because that is the decision that is expensive to change later.

3. Build the core first

Leads, pipeline and customer records ship first, so your team can use it while the rest is being built.

4. Migrate and verify

A trial import you check yourself, then the real migration, with the original export kept untouched as a fallback.

5. Train and launch

A walkthrough for the team, a short written guide, and a launch with backups and monitoring already in place.

6. Support and extend

A care plan for changes, plus the next set of features scoped once you have used it for a month and know what you want.

By Industry

What a CRM looks like in your business

The parts are the same. What changes is what a record is, and what has to happen next.

Clinics and diagnostics

Patient records, appointment history, recall reminders and report delivery, with access control on who can open what.

Real estate

Enquiry to site visit to booking, with channel-partner attribution and follow-ups that survive a busy weekend.

Schools and coaching

Admission enquiries, counsellor assignment, fee stage tracking and parent communication in one thread.

Restaurants and hospitality

Repeat-customer profiles, event and catering enquiries, table or room bookings and win-back campaigns.

Travel agencies

Itinerary enquiries, quotations, advance payments and post-trip follow-up for the next booking.

Sports academies and clubs

Member and player records, batch allocation, attendance, renewals and fee reminders.

Retail and distribution

Customer accounts, credit limits, order history, loyalty and outstanding payment follow-up.

Professional services

Client matters, document checklists, renewal and compliance dates, and billing against work delivered.

Technology

The stack we build on

We pick the boring, well-supported option unless your problem genuinely needs something else. That is what keeps a system maintainable three years after launch.

Interface

React Angular Vue TypeScript Responsive

Application

.NET Java Node.js Python PHP REST APIs

PostgreSQL MySQL SQL Server MongoDB Redis
Why Appmentech

What you get that a subscription will not give you

No per-seat tax

Give everyone a login. The cost of the system does not go up because you hired two more people.

Your process, not a template

The stages, fields and rules are the ones your team already uses, so adoption is not a change-management project.

Your data, your database

Hosted in your account, exportable at any time, with no vendor holding it behind a plan upgrade.

Tested before it ships

Automated tests and code review run on every change. Quality engineering is our strongest discipline and it shows up in what we hand over.

Built to be integrated

A CRM that cannot talk to your website and billing is just a second spreadsheet. Ours is designed to be connected.

You own everything

Code, repositories, database, hosting and domains are registered in your name and handed over. No lock-in.

FAQ

Questions Buyers Ask Us

Should I subscribe to a CRM product or have one built?

If a standard CRM fits the way you already work, subscribe to one — we will tell you so and save you the money. Building makes sense when your process does not fit the boxes a product gives you, when per-seat pricing is growing faster than your team, or when the CRM has to work as one system with your website, billing and operations.

How much does a custom CRM cost?

It depends on how many roles, stages and integrations it has to cover. A focused CRM for one team is a very different build from a multi-branch system with role-based access and billing. We scope it in writing first and then quote a fixed price against that scope, so there is no open-ended hourly meter.

Can you move our data out of spreadsheets or our current CRM?

Yes, and it is usually the first milestone. We map your existing columns and records to the new data model, run a trial import you can check, and only then run the real migration. You keep the original export untouched as a fallback.

Will it work with our website, billing and WhatsApp?

That is normally the point of building it. Website enquiry forms, payment gateways, invoicing or accounting tools, email, SMS and the WhatsApp Business API are the integrations we are asked for most, and they are scoped in from the start rather than bolted on later.

Who owns the CRM and the data in it?

You do, entirely. Source code, database, hosting accounts and third-party subscriptions are registered in your name and handed over. There is no per-seat licence and no platform you cannot leave.

What happens when we want to change it later?

Small changes are covered by a monthly care plan; larger changes are scoped and quoted like any other project. Because you own the code, you are also free to have someone else do it — we hand over documentation on the assumption that you might.
